CREATING ACCOUNTS
No more than three accounts may be associated with a single individual. These may be verified in the following ways, but not limited to:

  • Credit Card Number
  • Address
  • Name
  • Attention Name on Account
  • ax ID Number

In order for an individual to have more than one account, donor must be at the highest giving level of the Williams Education Fund (WEF), currently the Hall of Fame giving level, in one account.

As a condition to creating an account, the WEF member must agree to follow these WEF Policies and Procedures.

Policy included on all mailings:
Kansas Athletics strives to ensure that our donors are provided the best fan experience in the country. Therefore, if Kansas Athletics determines that individuals are attempting to circumvent this goal (for example, by creating multiple accounts in violation of Williams Education Fund rules), Kansas Athletics reserves the right to revoke ticket purchases for those accounts, per our policies.

PLEDGING ONLINE
The Williams Education Fund uses Paciolan for online pledges and donations. The web site is:
Williamsfund.com then click join/login.

RISING JAYHAWKS
The Gift Processing Specialist pulls a file in early September from Campus Options, and cash pledges for those accounts are imported into Paciolan. The cash receipts are entered later after the majority are paid.

STOCK GIFTS AND WIRE TRANSFERS
There are specific instructions you may email donors for stock gifts and wire transfers. Both have been emailed to staff periodically. Please see the Gift Processing Specialist if you need them.

OFFICIAL TAX RECEIPTS
KU Endowment sends all official tax receipts. If you have someone who needs a duplicate or has not received one yet, please send those requests to the Gift Processing Specialist.

ACCOUNT NAME CHANGES
Accounts may request a one-time Williams Education Fund account name change. The account must be at the Legend, All-American, Olympian, Champion or Hall of Fame membership level for the current fund drive. The new account holder must be a parent, brother, sister, son, daughter, grandson or granddaughter at a minimum of 18 years of age. Accounts do not switch from individual to company or vice versa. There is an online form to complete under Forms/Documents.

DECEASED ACCOUNTS
If a family member desires to do a one-time Williams Education Fund account name change after the account holder(s) is deceased, it must be finalized within 18 months of the death date of the account holder. Notarized letters must be submitted with the Account Name Change form from any surviving family members down to and including the generation that becomes the new account holder(s). The same rules apply for the Account Name Change form as noted above.

ANONYMOUS GIVING
Accounts may choose to remain anonymous as Williams Education Fund donors. They simply need to indicate that on their pledge form, and they will not be listed in routine donor listings. If someone does not choose to remain anonymous, per Kansas Open Records law, the donor and donation may have to be released if requested.

ADDRESS CHANGES
Address changes need to be submitted in writing. This could be an email, in person, or on pledge forms, etc. Give all address changes to the Administrative Assistant for processing.

ADDING OR REMOVING SPOUSE
Adding a spouse should be communicated to our office in writing. Removing a spouse must be done in the form of a notarized letter from both parties. If it involves a divorce, we either need a notarized letter from both parties or a copy of the divorce decree (if it is included how the account should be named and/or points divided).

WAIVING POINTS
Donors have the option to waive points. Should they choose to do so, they should notify their account representative in writing – email or indicated on pledge form. For IRA, foundation or donor-advised fund checks, the donor must waive all points.

PREMIUM SEATING
Premium Seating is allocated by membership level and then priority points. Those currently in premium seating areas have the first right of refusal prior to any other donors claiming those seats, if they do not decrease membership level. Premium seating includes Ward Family Scholarship Suites, Suite Club, Touchdown Club, End Zone Cabanas and Courtside Seats. All premium-seating donations, in non-sold-out venues, earn priority points and 50 percent of the donation will be applied toward membership level.

POSTSEASON TICKETS AND PARKING
Postseason tickets and parking are allocated by membership level and then priority points. Those who request multiple football parking passes follow this allocation process:

Postseason basketball ticket requests submitted by donors far outweigh the number of tickets the Williams Education Fund receives for donor allocations. As of 2018, these are the ticket quantities provided to Kansas Athletics by the NCAA, and they include tickets for the whole institution (faculty/staff, students, player/guest, donors, etc.).

  • First/Second Rounds: 450
  • Regionals: 1,000
  • Final Four: 3,250

LIFETIME SOCIETY RECOGNITION
All active donors with lifetime giving at $100,000 or above may choose to be included on the Lifetime Society Recognition list. Data is pulled annually after basketball select-a-seat (late August). All new members to the list are contacted via email and asked to confirm how they prefer to be listed; they are given a deadline and sent a reminder to provide a listing. Any account that opts out or does not respond by the deadline will not be listed for that year.
Lifetime Society categories include:

  1. Diamond Jayhawk ($5,000,000 or more)
  2. Platinum Jayhawk ($1,500,000 – $4,999,999)
  3. Gold Jayhawk ($500,000 – $1,499,999)
  4. Silver Jayhawk ($250,000 – $499,999)
  5. Bronze Jayhawk ($100,000 – $249,999)

TRADITION APPRECIATION
Points automatically calculate after every five years of donating. The years of active giving do NOT have to be consecutive. Each account receives 25 points for every five years of donating.

KUEA IMPORT
Late March, a list of donors from the previous year (and new fund drive, if applicable) is sent from the Associate AD/Williams Education Fund to the Assistant Vice President, Information Systems at KU Endowment. He/she sends back Y/N which translates to points in the import. Categories include Attend KU, Spouse Attend KU, KU Alumni Association and Chancellors Club. K Club and Spouse K Club points were excluded starting in 2017. Those were calculated a different way through Advantage. Then in 2019 K Club came under the Williams Education Fund umbrella so final points were awarded. Now points are no longer calculated like this for K Club.
